How is your personal data collected, stored and processed
by SARL Agile4me in its capacity as data controller?
Preamble
Aware of the need to ensure the confidentiality of personal data, the Agile4me association wished to formalize the commitments it intends to make regarding the protection of personal data by adopting this privacy policy (hereinafter the “ Policy ”).
This Privacy Policy applies to all personal data processed by Agile4me, when it acts as data controller, and where applicable when it acts as data processor.
This Policy explains how we use this data, with whom we may share it, what rights data subjects have, and what measures we take to ensure its confidentiality and security.
Some of the links on our websites and applications may redirect you to websites that do not belong to Agile4me. These websites have their own privacy or data protection policies, which may differ significantly from this Policy. It is therefore your responsibility to review and understand these policies and, where applicable, accept or decline their terms and conditions.
We may also include third-party applications on our websites and applications that allow you to share content with others or to share your views or opinions about content on our websites and/or applications. This is particularly the case with “Share” and “Like” buttons from social networks such as Facebook, Twitter, LinkedIn, etc. The social network providing such an application button may be able to identify you through this button, even if you did not use it while browsing our websites and applications. This is because this type of application button can allow the social network in question to track your browsing activity on our websites and applications simply because your account with that social network was active on your device (session open) while you were browsing our websites and applications.
We have no control over the process used by social networks to collect information about your browsing activity on our websites and applications and associate it with the personal data they hold. We encourage you to consult the privacy policies of these social networks to understand how they use browsing information collected through these application buttons, particularly for advertising purposes. These privacy policies should allow you to exercise your choices and rights with these social networks, specifically by adjusting the settings of your user accounts on each network.

2. What personal data does Agile4me collect?
The data we collect or hold about you may come from various sources. Some has been collected directly from you or your company, while other data may have been collected in compliance with applicable regulations in the past.
Still within the framework of applicable regulations, we may also collect information about you when you interact with us, for example when you visit our websites or use our mobile applications, when you call us, when you visit us at our premises or participate in certain events we organize (meetups, conferences, meetings, etc.), when you participate in competitions we organize, or when you use certain social networks (Twitter, Facebook, LinkedIn, etc.).
Some data may, where appropriate, come from publicly accessible sources (for example, the press and websites or applications of all kinds, including social networks) or from external companies.
2.1 The data you provide to us may, for example, relate to:
- information relating to your identity such as your name, surname, gender;
- your personal and/or professional contact details such as your postal address, email address, telephone numbers;
- information that you provide to us by filling out forms or communicating with us, whether by telephone, email or any other means of online communication (instant messaging, social media communications or any other type of exchange and communication) or by responding to questionnaires or satisfaction surveys;
- information related to your geolocation. This data will be used, on the one hand, to adapt our content and services to your needs, to allow us to fulfill our professional obligations, and on the other hand, to compile statistics on the use of our services in order to make them more relevant;
- any information of a commercial or technical nature, such as details of the products or services you benefit from;
- information related to your connection to a WIFI network made available to you by Agile4me in your capacity as a visitor;
- information related to mobile applications developed by Agile4me, particularly in the context of our events, etc.;
- all the information we need to meet our legal and regulatory obligations.
2.2 The data we obtain from other sources may include, in particular:
- data from our partners and subcontractors, particularly when we subcontract ticketing operations for events we organize or co-organize;
- data from your company (names, surnames, telephone and email contact details, position, qualifications, etc.);
- communication information (e.g., information contained in electronic messages, third-party information, chat information, instant messages, media information, litigation and stakeholder information, and transcripts or minutes);
- audio-video recordings as part of the video surveillance of our premises and/or participation in events that we organize.
3. What do we do with your personal data?
Access to our websites does not require the provision of personal data. However, depending on the pages visited, you may be required to provide personal data, particularly by filling out forms dedicated to certain topics (registration for events, downloading documentation, etc.).
Whether the requested information is mandatory or optional will be indicated by a colored asterisk during data collection. Mandatory personal data is that which is strictly necessary for processing your requests; optional personal data is collected to better understand you and thus improve your browsing/user experience on our websites and applications.
3.1 Agile4me will process your personal data, particularly in the following cases:
- You have unequivocally given your consent.
- the processing is necessary for the performance of a contract to which you are a party, or for taking steps prior to entering into a contract,
- The processing is necessary for compliance with a legal obligation to which Agile4me is subject
- the processing is necessary for the purposes of legitimate interests pursued by Agile4me, unless the interests of the fundamental rights and freedoms of the user, and in particular with regard to privacy, override those legitimate interests.
In addition to browsing/using our websites and applications, your personal data may be collected and stored in Agile4me’s secure databases, and processed electronically to enable the following operations:
- Sending newsletters, solicitations and other promotional messages about our events, as well as those of our partners.
- Create a file of registered members.
- Conducting surveys, opinion polls or trend analyses.
- To improve the quality of our events and services and to ensure the effectiveness of our communication campaigns.
- Perform operations related to order management, deliveries, invoices, loyalty programs, and customer relationship management. Manage your access to and use of certain services available on our websites and applications, such as participation in discussion forums or registration for training courses.
- To develop commercial and traffic statistics for our websites, in particular by carrying out audience and viewing measurements of the different content.
- Organising competitions, lotteries and all promotional operations excluding regulated gambling and games of chance.
- Manage the management of people’s opinions on products, services or content.
- Managing unpaid invoices and any disputes regarding the use of our products and services.
- Corresponding with our lawyers, advisors or any other stakeholders (subcontractors, suppliers, carriers, partners or other interested third parties).
- Protecting our rights: We may use your data to protect our rights, particularly in the context of defending or protecting legal rights and interests (for example, recovering sums owed, defending our intellectual property rights), legal actions, managing claims or disputes, and in the event of corporate restructuring or other mergers or acquisitions. We will use them based on our legitimate interests.
- Comply with our legal and regulatory obligations.
The processed data may be aggregated into anonymized statistics for survey and research purposes. The results of these anonymous surveys may be shared with our partners.
When consent is required for Agile4me to implement the processing of personal data, we inform the individuals concerned and request their consent.
4. With whom do we share your personal data?
We may transfer and disclose your data to:
- any company and/or partner to whom we should transmit – with your agreement – your personal data, particularly in connection with events and/or conferences;
- subcontractors, agents or service providers who work for us (which includes their employees and managers);
- your company;
- regulators, the TRACFIN unit, independent administrative authorities or dispute resolution bodies and in order to comply with their requests;
- any other person involved in the event of a dispute;
- judicial or administrative authorities/jurisdictions
5. How do we ensure the security of your data?
We implement technical and organizational measures adapted to the challenges in order to protect your data, including, where appropriate, the use of encryption, anonymization and the implementation of physical security procedures to minimize the risks of loss, alteration, communication to unauthorized third parties.
Our security measures, applicable to the systems used in the processing of personal data, aim to guarantee the confidentiality, integrity and availability of such data, at all times and until its deletion from our information system.
Therefore, we require our staff and all third parties working for us to comply with strict standards regarding security and information protection, including contractual obligations under which they undertake to protect all data and apply strict measures regarding data transfer.
6. What are your rights regarding personal data?
You have rights regarding your personal data, including:
- the right to obtain information about the data we hold about you and the processing carried out;
- in certain circumstances, the right to withdraw your consent to the processing of your personal data at any time (please note that we may continue to process your personal data if we have a legitimate reason to do so);
- In certain circumstances, the right to receive data in electronic form and/or to ask us to transmit this information to a third party where technically possible (please note that this right only applies to data that you have provided to us);
- the right to modify or correct your data;
- the right to obtain confirmation as to whether or not your personal data is being processed;
- the right to request the deletion of your data in certain circumstances (please note that legal or regulatory provisions or legitimate reasons may require us to retain your data);
- the right to ask us to restrict or object to the processing of your data, in certain circumstances (please note that we may continue to process your personal data if we have a legitimate reason to do so).

7. Who should I contact to assert my rights regarding personal data?
In addition to the possibility of visiting the chosen page on our websites and applications to manage your communication preferences, you have the option of exercising your rights by contacting our Data Protection Officer (DPO) at the contact details mentioned at the beginning of this Policy.
You also have the right to lodge a complaint with the National Commission for Information Technology and Freedoms, at the following address:

8. How long do we keep your personal data?
We will not keep your data longer than necessary and, when we no longer need it, we will securely destroy it in accordance with our internal policy or render it completely anonymous.
We retain the personal data collected for the period necessary to fulfill our contractual, legal and regulatory obligations or for another period defined in consideration of the pursuit of our legitimate interests, our operational constraints and responses to requests from judicial or administrative authorities.
Therefore, except in specific cases, the retention of your personal data is subject to the following maximum periods:
- Regarding the management of your information requests: 3 years from the date of collection;
- Regarding contacts with our clients, suppliers, service providers and subcontractors, information is kept – mostly – for the duration of our contractual relationship and for a period of 5 years after the end of our contractual relationship;
- Regarding the management of your newsletter subscription: until you unsubscribe via the unsubscribe link included in the newsletters;
- If you are a prospect without an established contractual and/or commercial relationship, we will not retain your data for more than three (3) years after the last contact with you;
- Regarding the management of your requests for rights (including access, rectification and objection): 3 years from the date of your request;
- The connection information we collect for the security, maintenance and improvement purposes mentioned above will not be kept for more than one (1) year after collection.
9. What do we expect from you?
You must ensure that the information you provide to us is accurate and up-to-date.
You must also inform us without delay of any significant changes in your circumstances.
If you provide us with information about a third party, you must first obtain their consent.
10. Modifications
This Privacy Policy may be updated to reflect changes in the legal and regulatory framework, technical and organizational developments, and the positions of administrative authorities (including the CNIL). Therefore, Agile4me reserves the right to modify this Policy at any time and recommends that you review it regularly.
Most of these changes should be minor. In the event of significant changes to our Policy, we will post a prominent notice on the website’s homepage before the change takes effect.
11. Cookie Management
A cookie is a text file placed on the hard drive of your computer, tablet, or mobile device when you visit a website. Its purpose is to facilitate your browsing and offer you personalized services by collecting information based on your website visits, for the duration of the cookie’s validity.
